PDF invoice
A PDF invoice is a human-readable invoice saved in Portable Document Format so its visual layout can be viewed, shared and printed consistently. An ordinary PDF contains visual rather than structured invoice data, so it is not an e-invoice under the EU structured-data definition. Some hybrid PDF formats can embed structured XML, but that structured component is a separate technical layer.
Why this matters when you invoice
A PDF preserves the invoice's visual layout across devices and is convenient for customers who review invoices manually. But a recipient that requires structured e-invoicing may not accept an ordinary PDF, even when it is delivered electronically.
What a PDF invoice is good at
- Presenting a predictable, readable invoice layout.
- Keeping branding, line items, totals and payment instructions together.
- Being downloaded, attached, archived or printed.
- Giving people a stable copy to review.
Those qualities do not make the invoice data machine-processable. A receiving system may still need manual entry, OCR or another extraction step.
Choose the format the customer can accept
A freelancer creates an invoice and exports it as a PDF for a customer who accepts email attachments. The same file may not satisfy a public-sector customer that requires structured invoice data through a specified network or portal. The amounts can be identical while the required format and delivery route differ.
What about hybrid PDF invoices?
Some specifications combine a human-readable PDF with embedded structured XML. In that case, the structured component, its profile and the recipient's rules determine whether the invoice qualifies for the required workflow. Simply attaching arbitrary XML to a PDF is not enough.
Common mistakes
- Assuming “sent electronically” always means structured e-invoicing.
- Sending a PDF without checking the recipient's accepted format.
- Believing the visual layout proves an embedded data file is valid.
- Using a PDF where a particular network, portal or structured profile is required.
