Sweden invoice requirements: what sits behind a simple invoice form

A Swedish invoice is more than a customer name and total. The invoice number belongs to a unique sequence, seller and buyer identity need to be clear, VAT registration and VAT-number presentation matter, and foreign-currency VAT can require a second VAT amount in the business's accounting currency.

1. Invoice numbering: a unique sequential number from one or more series

Chapter 17 of Sweden's VAT Act requires a full invoice to carry a unique sequential number based on one or more series that identifies the invoice. Verksamt describes the practical sequence as unbroken through the financial year.

InvoiceCraftly's Sweden workflow: the invoice number comes from a per-business numbering ledger instead of a free text field. Before the first Swedish invoice, the issuer establishes whether the sequence is new or continues an existing series. If local sequence state is missing, the app does not silently restart from the beginning.

2. What the ordinary full-invoice path contains

The reviewed ordinary full-invoice rule set covers issue date, sequential number, seller and buyer identity, relevant VAT registration numbers, description and quantity/scope of goods or services, delivery/completion date when applicable, taxable base, unit-price/discount information, VAT rate, and VAT amount.

Some transactions require additional VAT wording or special handling—for example reverse charge or other special regimes. InvoiceCraftly does not determine which tax treatment applies. Its Sweden readiness panel therefore distinguishes a missing document field from a tax/legal question that requires issuer review.

3. VAT registration and VAT numbers should not be inferred from a tax rate

A line carrying 25%, 12%, or 6% does not prove the seller's registration status or that the rate is correct for the transaction. The Sweden workflow therefore asks the seller to declare VAT-registration status explicitly and enter the VAT number where applicable.

The app can normalize a typical Swedish VAT number to SE plus twelve digits, but it does not query Skatteverket or certify registration or ownership.

4. Swedish limited companies: registered office and company status are separate identity data

Bolagsverket states that an aktiebolag's business documents such as invoices include the full registered company name, organisation number, and municipality of the registered office. Public-company wording and liquidation/bankruptcy status can add presentation requirements.

InvoiceCraftly therefore models legal form, registered-office municipality, and declared company status separately for the common Sweden path. It does not verify those facts against Bolagsverket.

5. F-tax: explicit seller declaration, not automatic transaction classification

Current Verksamt guidance says a seller of services should state that the business is approved for F-tax on the invoice. InvoiceCraftly can therefore render Godkänd för F-skatt when the seller explicitly declares that status.

The app does not classify free-text line items as services or verify F-tax against Skatteverket. An unknown F-tax declaration is a review item rather than an automated statement that the invoice is invalid.

6. Foreign-currency invoices: VAT reporting currency can be SEK or EUR

Swedish invoices may use another invoice currency. Where Swedish VAT is payable, the VAT amount must also be expressed in Swedish kronor. If the business keeps its accounts in euros, the corresponding VAT amount is instead also expressed in euros.

This is why InvoiceCraftly does not simply hard-code “VAT in SEK.” The Sweden workflow stores an explicit accounting currency—SEK or EUR—and derives the VAT reporting currency from it. When invoice currency differs, the document stores the exchange rate, rate date, and source/method and calculates a separate VAT amount.

The app does not choose the exchange rate for the issuer. Skatteverket's guidance describes permissible conversion methods and ties the date to the taxable event. The issuer remains responsible for selecting the appropriate method/date/rate for the transaction.

7. PDF and public-sector e-invoicing are not the same workflow

Sweden's law on electronic invoices resulting from public procurement applies to structured electronic invoices in covered procurement flows. DIGG's current framework uses Peppol registration for public receiving entities.

InvoiceCraftly does not generate or transmit Peppol/structured public-sector invoices. If the recipient or procurement requires that channel, use an e-invoice-capable accounting system or service.

InvoiceCraftly helps create and review invoice documents using safeguards derived from periodically reviewed official guidance. It does not determine tax treatment, verify VAT/F-tax/company registrations, replace accounting records or statutory retention systems, provide tax/legal advice, or certify that a document satisfies every rule applicable to a transaction.

What are the invoice-number requirements in Sweden?

A full Swedish invoice uses a unique sequential number based on one or more series. InvoiceCraftly therefore uses machine-assigned numbering in its Sweden workflow rather than a freely editable invoice-number field.

If a Swedish invoice is in EUR, must VAT also be shown in SEK?

When Swedish VAT is payable, VAT must also be expressed in the issuer's accounting currency. That is normally SEK, but if the business keeps its accounts in EUR the corresponding VAT amount is instead also stated in EUR.

Does a Swedish service invoice need F-tax wording?

Current Verksamt guidance says a service seller should state that the business is approved for F-tax. InvoiceCraftly can display that wording when the seller explicitly declares the status, but it does not classify the transaction or verify F-tax externally.

Is a PDF invoice the same as a Swedish public-sector e-invoice?

No. Where the public-procurement e-invoice law applies, a structured electronic invoice is required. InvoiceCraftly does not generate or transmit Peppol invoices.

Does InvoiceCraftly certify Swedish invoice compliance?
