A payment QR code can make an invoice easier to act on by opening a payment page or pre-filling supported bank-transfer details. Payment-link QR and EPC/SEPA QR solve different jobs

Only label a code as a payment QR when scanning it genuinely starts the intended payment flow.

How to add a payment QR code to an invoice

  1. Create or open the invoice and complete the seller, customer, dates, line items, totals, and other required information first.
  2. Open the payment and QR controls in the editor.
  3. Choose Payment link when the scan should open an HTTPS destination you control, or EPC / SEPA for supported EUR transfer details.
  4. Review the destination, beneficiary, account, amount, currency, and reference that apply to the chosen mode.
  5. Keep readable payment instructions on the invoice so the QR is a convenience layer rather than the only source of payment information.
  6. Export the document and scan the QR again from the final PDF, PNG, SVG, or printed copy before sending it.

Use the SEPA QR tool when you want to review the transfer payload separately

The standalone SEPA payment QR code generator accepts reviewed EUR bank-transfer details, validates the IBAN checksum before generation, shows the readable transfer data and encoded EPC payload, and lets you download the QR as PNG or SVG. A short-lived browser-session handoff can then prepare those reviewed details for the invoice editor, where you review them again before applying them.

Banking-app support varies, so scan the final code and review the payment details shown by the receiving app.

What an invoice payment QR code does not do

  • It does not authorize, submit, settle, or confirm a payment.
  • Review the payment page, bank account, beneficiary, and expected payment timing yourself.
  • It does not replace readable invoice or payment information.
  • It does not update the invoice or accounting records when a customer pays.
  • It does not convert a PDF into a structured electronic invoice.

InvoiceCraftly generates the code from information you supply. The payment provider or banking app handles the next step under its own terms.

Review and test the final QR before the invoice leaves your browser

  • Verify the payee or beneficiary name.
  • Verify the payment hostname or IBAN.
  • Verify the amount, currency, and invoice reference.
  • Keep a readable fallback beside the QR.
  • Test the final exported file, not only the editor preview.
  • If customers may print the invoice, test a printed copy at the intended size.

A QR should reduce manual entry without hiding the information the payer needs to check.

Browser-local generation

Creating the QR does not send the encoded invoice or payment fields to InvoiceCraftly

The QR image is generated in the browser. Opening the encoded link or scanning it into a banking or payment app is a separate action involving that provider or app. Read the QR privacy boundary for the current details.
