Freelance consultant · Quote → Invoice → Receipt

Keep consulting scope, delivered milestones, and payment records distinct.

Zameer is a fictional freelance growth consultant preparing a discovery and workshop engagement for a fictional software studio. The workflow moves from proposed scope to delivered-work billing and a settled payment record.

Fictional business need

A client wants the advisory scope, workshop output, and price stated before kickoff.

Zameer's fictional practice, Kindred Growth Advisory, proposes stakeholder discovery, a positioning workshop, and a written action plan. The quote describes what the client may approve. The invoice bills the completed first milestone. The receipt records payment after funds are received.

Stage 01

Quote a defined advisory engagement

Use a quote to make the proposed scope and commercial assumptions reviewable.

Example line items

Proposed deliverableUnitExample amount
Stakeholder discovery interviews4 sessions£1,000
Positioning and priorities workshopworkshop£1,450
90-day action plandeliverable£850

Make the proposal useful

  • Describe deliverables rather than using a single vague consulting fee.
  • State validity, timing, assumptions, exclusions, and client inputs.
  • Use notes for context alongside the agreement or engagement terms your business uses.
  • Confirm the tax, currency, and business wording that applies before sharing the quote.
Stage 02

Invoice the completed milestone

Bill only the work supplied or the milestone due under the engagement.

Move from approval to billing

After approval in Zameer's chosen process, he creates a separate invoice or deliberately duplicates the quote and changes its document type. He then checks the client reference, completed scope, dates, amount, payment terms, and optional QR before sending.

Stage 03

Create a receipt after payment

Record the settled amount only after confirming that payment arrived.

Create a receipt

What to carry forward

  • Seller and client identities and the relevant supplied services.
  • The actual paid amount, currency, and transaction or invoice reference.
  • The payment date when appropriate to the issuer's records.
  • A clear description of the work covered by the payment.

Finish the record

The receipt presents a completed payment record rather than a request for payment. Due terms are hidden for this document type. Zameer reviews the file, exports it, sends it through the agreed channel, and records the payment in the system he uses for reconciliation.
